Seeding Guidelines
Conference Call Goal
To fairly and transparently seed our 24 teams.
Conducting the Conference call.
1. A Zoom Link will be posted at News & Updates or emailed to you by 2:00 pm Sunday Feb 22.
2. Please ensure that you are set up for Zoom and ready to go. This call is not a training session. It can be unduly long if we are distracted. Making your call from a private area where there is no background noise is best, and please use MUTE unless you are speaking. (Also, clothes are important – we have all heard Zoom stories).
3. The Meeting is in 2 parts, Review and Expectations with Rob as moderator and Michael & Caley for Seeding.
Part A – Review of Tourney Schedule and Participant Conduct.
4a. Goals of the Tourney.
b. Parking & access Thurs – Fri with school in session & Sat- Sun with no classes.
c. Docs.
d. Banquet & Merch orders.
e. Pre game “On Deck” and mixing of team gear.
f. Post game, hand shakes, POG and 1 min to empty and clean your benches.
g. Game Director Report.
h. Specialty Events Eliminations to Final 4 on Friday prior to the Banquet.
i. 3×3 Championships has been opened to all 24 teams as of this year.
j. Final day Sunday and Awards.
5. We will be having 24 Head Coaches plus assistants online, only the Head Coach or designee is allowed to speak. You may connect 1 Assistant Coach, but they have “observer” status only, they are not allowed to speak but may type zoom texts for questions or comments..
6. Conference call etiquette is pretty basic:
a. be brief and to the point.
b. one person speaking at a time. Identify yourself by only school name first, and then speak after the Moderator gives you the “floor”.
Part B – Seeding (Michael with Caley)
7. The Senior Provincials and Junior Invitationals are seeded by internal committees. We are the only year end tourney that provides open and transparent participation for seeding with a Coach’s Seeding Conference Call. We believe that Coaches (especially new Coaches) should experience the challenges seeding presents (at least one time). Patience will be required.
8. Michael with Caley are the moderators and will break ties if we get bogged down.
9. We typically get this Seeding Conf Call done within 70 – 90 minutes, please allow enough time.
10. On the website you will find worksheets in both .xls and .pdf. Suggest you print several copies and set up with a pencil and a big eraser.
Conducting the Seeding
11. Seeding takes into account many factors including your win/loss record, strength of schedule, exhibition vs league vs playoff, early vs late season games and zone opponents.
example: If you beat the Zone Champion 3 times during the season but stumble during the playoffs then you are a lower seed, you didn’t come through when it counted in the playoffs.
12. To streamline the process, a draft seeding proposal has been prepared for discussion. This is presented as a framework to help guide this process but this is by no means final, it is a draft.
13. Decisions are reached by consensus however the Moderators decide in case of a deadlock.
14. We need to accept that many teams are unknown to each other. There is interlocking play amongst Lower Mainland and Fraser Valley teams but not a lot of crossover with Okanagan, Island and North teams.
16. Your team will not be seeded until the higher seed from your zone is seeded.
17. Wildcard teams will not be seeded higher than the lowest seed from their zone.
Example: if a team from the Eastern Valley Zone qualifies through the Wildcard Tournament, that team cannot be seeded higher than EV1, EV2, or EV3
18. Understand that the quarter you are in is more important than whether you are 6th or 7th or 10th or 11th seed.
19. Once agreement has been reached on 1 – 24, adjustments are made based on:
a. Teams from the same zone are kept away from each other in the Play-in Rounds and Round of 16.
b. we attempt to split 2 teams from the same zone in each half of the draw, where possible.
20. Once agreement on any adjustments are completed, then a review of team start times will be considered. Traveling teams from outside the Fraser Valley and Lower Mainland traditionally have started later so that they can avoid extra hotel costs by leaving their cities very early. Respect is paid to the Host school’s time request for their first game only in order to play at a time when student body participation can be maximized. No other request for a later start time will be considered.
21. Please be aware that any adjusted start time for one team involves changing the start time for the 4 teams in your quarter as well as rest time for later games.
22. No team can gain any advantage by a greater rest time. Your opponent will have had the same rest time as you will have had. We attempt to maintain a minimum of 3 hours between games times for player (and coach) rest.
23. Please note that where possible, we have staggered the game start times by 30 minutes and where possible, have scheduled same side of the draw opponents in the same gym, to allow coaches to have a look at their possible next round opponent.
We have all worked hard, Coaches to get here and Organizers to get this all in place, and we want this to be
the best basketball experience your players have had so far!
